You should receive an email confirmation containing the specific counts for your file once the file has been uploaded and processed. This notification can be sent to multiple e-mail addresses at your direction.

In addition to your immediate processing log, you will receive an email confirmation on the business day following the mailing date of your statements. This email will contain the date on which the statement file was received and mailed as well as the total number of statements and pages contained in the file.

All pre-printed inserts must be received by the 27th of the month prior to inserting.

Insert Requirements:

Length Maximum = 8 1/2 inches
Minimum = 6 inches
Depth Maximum = 3 7/8 inches (folded)
Minimum = 3 1/2 inches
Thickness 7/32 of an inch Maximum – This is for the total number of enclosures (i.e., three enclosures plus the statement)
Fold “C” Fold, often referred to as a “Letter” fold, your printer will be familiar with this type of fold.
NO “Z-FOLD” PLEASE!!!
Packaging Rubber-banded or shrink wrapped in bundles
Deadline – 27th of each month prior to inserting

Inserts not meeting the above specifications can require additional manual intervention with the inserting process. This manual intervention can extend the time required to prepare your statements for mailing and may delay their delivery to the Postal Service.

Any deviation from these specifications can prevent the use of insertion equipment and not only will delay the mailing of your statements, but will require additional fees if they have to be inserted manually, repackaged or relabeled.

Our turnaround time for notices is 24 business hours.

To verify if a particular statement was processed, please contact the Print & Mail Department with the member information i.e. name, member number. We can then search the file we have for that particular member and verify if they had a statement in the file and whether or not it was processed.

Our business hours are Monday through Friday from 8am to 5pm, except during the statement cycle when we convert to 24/7 operations.

Any artwork for inserts printed by Palmetto Cooperative Services must be received no later than the 15th of the month to avoid delays in processing statements.

High-Resolution PDFs are preferred. Other acceptable formats are QuarkXpress 8.01 or earlier, Illustrator CS6, InDesign CS6, Photoshop CS6 and Microsoft Word. Please include all support files and font if PDF is not provided.

Naming conventions are determined during the implementation process. You can contact the PCS Print and Mail facility to obtain your correct naming convention for any expected files.
